Singapore weddings involve a lot of logistics — venue deposits, dietary requirements across dozens of tables, guest lists spanning multiple countries, and day-of coordination across photographers, videographers, caterers, and venue staff.

Here's the digital checklist that covers the essentials most couples overlook until it's almost too late.

12 Months Out

[ ] Set up a wedding email address Create a shared email address (e.g. sarah.james.wedding@gmail.com) that both of you can access. All vendor communications, contracts, and invoices go here. This prevents things getting buried in personal inboxes and keeps everything in one searchable place.

[ ] Create a shared budget spreadsheet A shared Google Sheet with every expense category, the budgeted amount, the actual amount, and payment due dates. Both partners have access and can update it in real time.

[ ] Create a shared document for vendor contacts Name, company, phone number, email, and contract details for every vendor. Share with your parents or a key point of contact who will have it on the day.

9 Months Out

[ ] Build a wedding website A simple website with the venue, date, parking information, dress code, and an FAQ for guests. Share the URL in save-the-dates.

Services: Zola, Squarespace, Wix. A basic site takes a few hours to set up.

[ ] Set up digital RSVP A Google Form or Typeform that captures name, attendance, dietary requirements, and any other information you need. Link it from your wedding website.

[ ] Start the seating tool If you're planning a banquet with more than 15 tables, start your seating plan early in a visual tool (AllSeated, Social Tables). Add confirmed guests as RSVPs come in.

6 Months Out

[ ] Confirm your photographer's delivery format Understand exactly how your photographer will deliver photos — which platform, approximate timeline, how long the delivery link will be active. Note the link expiry date and set a calendar reminder to download before it expires.

[ ] Brief your videographer similarly Video files are large. Confirm delivery format, timeline, and storage requirements. A high-resolution wedding film can be 50–100GB.

3 Months Out

[ ] Set up your guest photo sharing platform Choose your platform and create the event. Test the full guest experience yourself — scan the QR code, verify with your phone number, upload a test photo. Fix anything confusing before the day.

[ ] Plan QR code placement Decide where QR codes will appear: table cards, the back of the menu, a sign near the entrance? Include this in your stationery briefing to your designer or printer.

[ ] Create your WhatsApp groups

  • A small logistics group: both of you, immediate family, key vendors
  • An MC briefing group: the MC plus whoever is managing the programme
  • Guest communication group (if using): broader guest list for day-of updates

1 Month Out

[ ] Print and test QR codes Print at least one QR code card and test scan it with multiple phones. Confirm it scans reliably before committing to the full print run.

[ ] Brief your MC on the photo gallery announcement Give your MC a specific script for the gallery announcement. 20 seconds, during dinner, telling guests to scan the code on the table.

[ ] Create the day-of timeline document A shared Google Doc with the complete minute-by-minute timeline. Share with your photographer, videographer, coordinator, MC, and key family members.

1 Week Out

[ ] Send guests the venue information and any last-minute details Via WhatsApp to your guest group, or email for those not in a group. Parking, dress code reminders, transportation options.

[ ] Download backup of anything important Venue contract, vendor contacts, seating plan — all downloaded to your phone so you have offline access on the day if Wi-Fi at the venue is unreliable.

Day Before

[ ] Set QR codes at the venue during setup Place QR code cards at every table during venue setup. Bring extras.

[ ] Check your guest photo gallery is working Log in, confirm the event is active, and do a test upload.

[ ] Charge everything Both your phones, any portable chargers, the MC's microphone if battery-powered.

Day After

[ ] Download all guest uploads from your gallery Do this within 24–48 hours while uploads are still coming in.

[ ] Back everything up Photos, videos, documents — to hard drive and cloud backup.

[ ] Send a thank-you A brief message to your WhatsApp guest group thanking everyone and sharing the gallery link so guests can see each other's photos.
