Bulk Downloading Your Wedding Photos: A Complete Guide

A wedding produces photos from multiple sources. Getting all of them off platforms and onto permanent storage requires a bit of method. Here's how to do it systematically.

Source 1: Your Professional Photographer's Gallery

When: Download immediately when the gallery arrives. Don't wait until you're ready to look through them — download first, browse later. Gallery links expire.

How: Most professional photographers in Singapore deliver via Pixieset, Pic-Time, Cloudspot, or a similar platform. These typically have a "Download All" option in the gallery.

On Pixieset: Click the download icon (↓) → "Download All"
On Pic-Time: Go to "My Gallery" → select all → download
On Cloudspot: Similar "Download All" option in the gallery toolbar

The download will be a ZIP file containing all images. A full wedding gallery (600–1000 photos in JPEG format) is typically 2–8GB.

After downloading: Unzip the file and organise into labelled subfolders before you do anything else.

Source 2: Your Guest Photo Gallery

When: Download within 48–72 hours of the event. Guests upload mostly on the day and in the day or two following.

How: If you used a purpose-built event gallery platform, look for a "Download All" button in your host dashboard. This should package all guest contributions into a single downloadable file or folder.

If there's no bulk download option, check whether you can export or request a bulk download from the platform's support team.

File sizes: Guest photos vary significantly in size depending on phone model and camera settings. A photo from a recent flagship phone might be 10–20MB. 200 guest uploads could be 2–4GB total.

Note on videos: If guests uploaded video clips, these will be significantly larger (50–200MB each depending on length and quality). Account for this in your storage planning.

Source 3: WhatsApp Group (If Applicable)

When: Within a week of the event, while the chat is still active and recent.

On iPhone:

Open the WhatsApp chat
Tap the group name at the top → "Media, Links and Docs"
Select all media → "Save to Photos"

Note: WhatsApp photos are compressed. Save them, but treat them as lower priority than full-resolution sources.

On Android: WhatsApp saves media automatically to your phone's gallery under a WhatsApp folder. Connect your phone to a computer to copy the folder.

Source 4: Individual Photos from Specific Guests

For specific guests you know have particularly good photos:

AirDrop (between Apple devices): Have the guest select their photos and AirDrop them to you directly. Fast, full quality, no compression.

WeTransfer: Guests can upload up to 2GB for free and send you a download link. Full quality.

Google Photos album: Create a shared Google Photos album, invite the guest, have them add their photos. You can then download from your end.

Avoid: WhatsApp or email for high-quality photos — both compress.

Building Your Archive Folder

Create a master folder with this structure:

Keep all originals in this structure. Create a separate "Best of" folder for your curated selections — don't delete or move originals.

A typical wedding photo archive:

Professional photos (600–1000 JPEGs): 2–8GB
Professional video (10–30 minutes, high resolution): 20–100GB
Guest photos (100–500 uploads): 1–5GB
Total: 25–115GB

A 1TB external hard drive (S$60–80 from local retailers) is sufficient storage with room to spare.

Verification Checklist

Before you consider the download complete:

Professional photos downloaded and unzipped
Photographer's delivery link not yet expired (note expiry date)
Guest gallery downloaded
Any individual guest photos collected
WhatsApp photos saved (if applicable)
Professional video downloaded
Everything on hard drive
Hard drive backup to cloud (at least one cloud service)
Total file count roughly as expected (not suspiciously low)
