Managing a Large Singapore Wedding (200+ Guests) Digitally

A 200-person wedding is a logistics project. The number of decisions, the volume of communication, and the day-of coordination all scale significantly beyond what you'd face at a 50-person celebration.

Digital tools help — but only the right ones, used in the right way. Here's a practical guide.

Guest Communication at Scale

The problem: You can't personally WhatsApp 200 people. And a 200-person WhatsApp group is a logistical nightmare — constant messages, people adding incorrect members, information getting buried.

What works:

A small logistics WhatsApp group: you, your partner, immediate family (parents on both sides), and your coordinator. Maximum 10–12 people. This is your operational channel.
A wedding website with all the information guests need: venue address, parking, dress code, RSVP link, accommodation for overseas guests, and a brief schedule. Share the URL in your invitation.
Email for formal communication, especially to older guests and for RSVPs.

Resist the urge to create a single 200-person WhatsApp group. The noise is unmanageable.

RSVPs

For 200+ guests, manual RSVP tracking (people texting or calling to confirm) creates significant work. Use a digital RSVP form instead.

Setup:

Create a Google Form with: full name, number attending, meal preference (if applicable), dietary restrictions, and any other information you need.
Link it from your wedding website.
Responses go directly to a Google Sheet you can sort and filter.

Follow up manually only with guests who haven't responded 4–6 weeks before the event. This is typically a smaller group and easier to manage.

Seating for 20+ Tables

A spreadsheet seating plan works for small weddings. For 20+ tables, a visual seating tool is genuinely helpful — you can see the whole room, identify balances and gaps, and move people around intuitively.

Day-Of Coordination

With 200 guests, there will be questions, late arrivals, and last-minute changes. Build your coordination infrastructure in advance:

A shared day-of document: The complete timeline, vendor contacts, emergency numbers, and venue details in a single Google Doc shared with your coordinator, photographer, videographer, and key family members. Everyone can reference it; everyone has the same version.

Designated family coordinators: Ask one person on each side of the family to be the point of contact for guests with questions on the day. This removes pressure from you and your partner.

A simplified seating plan at the entrance: A printed board or table (alphabetical by guest name → table number) so guests can find their seat without needing to speak to anyone.

Photo Sharing at Scale

A 200+ guest wedding with a single QR code at the entrance will generate very few uploads. At this scale, you need:

One QR code per table. With 20+ tables, every table needs its own visible code (all pointing to the same gallery). Guests at Table 18 are not going to walk to the entrance to scan a code. Table-level placement is what drives participation at scale.

An MC announcement. At a large wedding, many guests will miss a QR code on a table even if they see it. A direct announcement from the MC during dinner reaches all 200 simultaneously:

"There's a QR code on your table. If you've taken any photos tonight, please scan it and add them to our shared album before you leave."

An AI-moderated gallery. At 200+ guests, you're collecting contributions from a lot of people you may not know well. A gallery with content moderation — which automatically flags or blocks inappropriate uploads — protects you from unwanted content without requiring you to manually review everything.

Vendor Management

With a large wedding comes a larger vendor team. Build a vendor contacts document:
